NAMHSA - November 16-30, 2010 News
NAMHSA News for the period of November 16-30, 2010 based on the minutes compiled by Bobbi Devine, Recording Secretary. NOVEMBER 16 --Bobbi Devine (Recording Secretary) submitted the November 1-15, 2010 minutes report. This was approved 11/17/10. NOVEMBER 19 --Pat Coulter (R9 Representative) forwarded an inquiry from a NAN 2010 volunteer who did not receive her lunch reimbursement check. --Eleanor Harvey (Parliamentarian) commented that one of the things she and Jackie Arns-Rossi (NAN 2010 Co-Chairs) paid attention to was which volunteers were really working a full day. (Lunch is covered only for full day volunteers.) She noted that one individual took on the role of head steward and was efficient in organizing and directing the volunteers in her charge. Eleanor suggested budgeting a stipend for a Head Steward position in the future. --Bobbi Devine posted an addendum to the issue regarding an individual member who requested a refund of her membership fee because she wasn't able to show at NAN 2010 (originally posted on October 23). She recommended that Marilou Mol handle the issue going forward because the individual member is a Region 8 member. NOVEMBER 20 --Pauline Entin (Public Relations) inquired if any applications have been received for the NAN 2011 Chair and Registrar positions. --Jackie Arns-Rossi (President) posted that she had not received applications for either position. She asked if the original bid requirements included having person(s) available for such key positions. Lindsey Hall (Past President) posted that the bid requirements were for a local liason, but not necessarily NAN Chair. Eleanor Harvey noted that the the bid presented did not include committing anyone for the positions. NOVEMBER 21 --Jackie Arns-Rossi added her support to making the NAN Head Steward a stipend eligible position in the future. NOVEMBER 22 --Eleanor Harvey suggested that the Region 2 and 3 reps and Pauline Entin post on their respective lists looking for persons to apply for the NAN 2011 Chair and Registrar positions. NOVEMBER 23 --Discussion continued regarding the NAN 2011 Chair and Registrar positions. NOVEMBER 24 --Pauline Entin posted that an individual from Region 3 was considering applying for the NAN 2011 Chair position. Teresa Buzzell (R3) also posted that she sent Registrar position information to a possible applicant. --Jackie Arns-Rossi announced that she had received an application and resume for the NAN 2011 Chair position, and thought there may be a second applicant. NOVEMBER 26 --Lynn Weber (Web Content Coordinator) inquired if there were condensed versions of the quarterly financial reports to post on the website. It was concluded that once approved these reports could be posted to the website ASAP. --Jackie Moore (R6 Representative ) relayed a post on the NAMHSA Discussion list about an idea to settle on three static locations for NAN across the country and rotating the show to those locations. --Jackie Arns-Rossi reminded the Board that while discussing locations for NAN is a good topic, the Board needs to stay focused on the current agenda and getting the key positions filled for NAN 2011. She uploaded the application for the NAN 2011 Chair position to the files and encouraged the Board to begin discussion regarding the application. --Pauline Entin mentioned the question of whether or not there would be an Auction for NAN 2011, and that the Board should make a decision about it soon. She also noted that the Board needs to solicit for a Sponsorship Chair as soon as the NAN Chair and Registrar issues are resolved. She also reported that she had an application for the Registrar position. --Pat Coulter relayed a possible problem about the NAN-Qualifying status of a Region 9 show. Gail Schuenemann (SMS) responded that the show was qualified, but had missed being listed and was not yet posted on the website. Lynn Weber (WM) pointed out an error with the date and name of show and asked Gail to verify this information. --Pauline Entin forwarded a proposal that was made on the NAN Steering Committee regarding holding all-year fundraising efforts instead of the live NAN Auction: *Proposal: Eliminate the NAN Auction chair position, and replace with year-round Fundraising Coordinator. *Details-* Create a new NAMHSA Board position that will be a volunteer, non-voting Board position similar to the Merit Award Coordinator. This person will be called a Fundraising Coordinator and will serve a two year term. The Fundraising Coordinator will ultimately be responsible for all NAMHSA fundraising such as online auctions/ raffles, NAN sponsorships etc. NOTE: A year-round Fundraising Committee was approved by Board vote in 2001. Create a second new NAMHSA Board position that will be a volunteer, non-voting Board position called an Assistant Fundraising Coordinator. This person would also serve a two year term. During the first year, this person would shadow the current Fundraising Coordinator learning the policies, contacts, and ins/outs of the Fundraising position. In the second year this person would assume the role of the Fund Raising Coordinator. This type of shadowing is similar to what NAMHSA President and VP currently do. NOTE: These positions would be covered in the NAMHSA Policy Manual, but would not require any Bylaws changes or a membership vote. *End results:* - No more in-person auction at NAN, thus saving NAMHSA time and money. The dollar amount saved would be at least $1600, based on a KY year NAN. This cost savings comes from the cost of renting a room at the HI (>$1250), the NAN Auction Chair's stipend ($300) and other expenses associated with the auction (program, catering, etc). - Centralization of fundraising activities-no longer spread between Auction Chair, Raffle organizer, Sponsorship Coordinator, etc. - Extension of fundraising period and diversification of activities. - Reduced risk to donated items from transportation and display. Over the years, several NAN Auction items have been damaged in shipping to the Auction. - A more flexible time frame for artists to complete lots. - Greater flexibility and time for Coordinator to raise funds. - No more confusion on NAN Auction income accounting for the general hobby public (ie., No more annual answering of "why are NAN Auction finances separate from NAN finances?") - More consistency over time. - Less time spent looking for a NAN Auction chair and Sponsorship Chair every year along with Auction volunteers, etc. NOVEMBER 29 --Sandra Gibson (R11 Representative) forwarded an inquiry from a NAN 2010 Auction donor who received a check for a percentage of the sale. The donor stated that the donation was 100%, and that no monies were owed to her. Jackie Arns-Rossi responded that the donor can simply mail the check back to NAMHSA, with NAMHSA's appreciation. --Jackie Arns-Rossi motioned that the Board accept her nomination of Teresa Northcutt-Candelaria as the NAN 2011 Chair.
