NAMHSA - May 1-15, 2013 News
NAMHSA News for the period of May 1-15, 2013 based on the minutes compiled by Jackie Arns-Rossi, Recording Secretary. MAY 1 -------------------------------------------------- Jackie Arns-Rossi posted April 16-30 minutes for approval, upon which Teresa Buzzell approved. MAY 2 -------------------------------------------------- Teresa Buzzell moved to accept the proposed changes to the Individual Member program. Carra McClelland seconded the motion and other members of the BOD indicated that they were ready to vote on the proposal. MAY 3 -------------------------------------------------- The poll voting on the new Public Relations Officer had closed with Natalie Kilpatrick winning the majority of the vote. Natalie was asked by Teresa Buzzell to draft a press release announcing her appointment. Jacki Arns-Rossi posted an update on the election, noting that one ballot had been returned due to a voter moving. An envelope was also returned with a member's opinion written across the front. Inside was a letter with the member's thoughts on NAN, submitting results via computer and new bylaws. A suggestion was made to allow show holders to submit results via Postal Service and charge them a fee for someone to convert the results into a searchable, digital format. She then proceeded to release the voting numbers for each region. Turnout was as follows: Special Election for Vice President: Region 1 - 68% Region 2 - 48% Region 3 - 38% Region 4 - 31% Region 5 - 47% Region 6 - 42% Region 7 - 43% Region 8 - 25% Region 9 - 48% Region 10 - 35% Region 11 - 40% International - 0% Overall - 41% Jackie suggested that a message go out through the message boards, blog and Facebook urging members to vote. Stacy Faraci asked if anyone was interested in her Region 7 Representative position. She would be meeting with a group of people the next day and could ask around for volunteers. Carra McClelland advised that one person had asked about what the position entailed, but ceased communication after that. MAY 4 -------------------------------------------------- Natalie Kilpatrick posted a draft to announce herself as the new PR Officer. Chris Wallbruch asked for a list of members with outstanding ballots, in which Pat Coulter agreed would be helpful. Jackie Moore posted that she found the improvements to the NAN Registration easy to use and well done. Natalie Kilpatrick advised that the Yahoo! file storage was at 94% capacity. Pat Coulter advised Jackie Arns-Rossi of a member that did not receive a ballot. Jackie Arns-Rossi posted a draft of her voting reminder to the group detailing numbers from both the last election and current. Natalie Kilpatrick posted another draft to announce herself as the new PR Officer that was eventually approved on May 8th, but asked to refrain from posting the announcement until the other applicant had been notified. MAY 5 -------------------------------------------------- Natalie Kilpatrick advised that exhibitors were still turning in unsigned NAN cards which generated a discussion about how to continue to raise awareness of the issue. Pat Coulter reported an invalid link on the NAMHSA web site, which Lynn Weber fixed soon after. Jackie Moore asked if the other PR applicant had been notified of the BOD's decision. MAY 6 -------------------------------------------------- Jackie Arns-Rossi supplied a list of the NAMHSA members who had not returned their ballots. Tracy Eilers forwarded an email from one of her constituents regarding merit awards after Superior Halter Horse and what can be done with Top Ten Rosettes. Carra McClelland replied to the rosette question by advising her that the rosettes could be recycled for use in future NANs and could not be re-used for live show awards unless the NAMHSA logo was removed. MAY 7 -------------------------------------------------- Lynn Weber reported she would be out of town until Thursday. MAY 8 -------------------------------------------------- Carra McClelland advised the BOD that the other PR Applicant had been notified of the BOD's decision for a new PR Officer. The press release was then issued. Teresa Buzzell reported, at last count, 163 entrants and 3939 horses for NAN. MAY 9 -------------------------------------------------- Teresa Buzzell posted about the current agenda. Done was the PR Officer decision, Judge Proxy Showing and changes to the Individual Membership program. In progress were the MSOTY Chair and Committee, NAN Entry and Member Voting. Coming up would be the National Showers Database, Merit Award Changes and Code of Conduct for the BOD. Other business included the final approval of the NAN Class List which superseded any other issues, including motions, because of the time crunch. On the To-Do list were to have Natalie post, without awaiting approval, that NAN entry ends Saturday and email reminders for volunteer positions and the MSOTY committee also needed to go out, as well as MSOTY nominees. Chris Wallbruch was appointed MSTOY Chair. Jackie was asked for a list of the outstanding ballots, and all reps were asked to post to their regional lists asking for ballots to be returned, especially if they were in a region with a 2 person race for Regional Rep. Reps from regions without a MSOTY representative were asked to solicit their lists for members. Teresa Buzzell reported, at last count, 186 entrants and 4783 horses for NAN. The question about who made up the entry list at NAN was brought up; if they were NAN first timers or repeat exhibitors. The size of the volunteer pool for the show was also brought up. Lyn Norbury expressed her opinion that NAN should only be offered to the western half of the United States during non-Kentucky years. Teresa Buzzell advised that Niki Hertzog had all the volunteers she needed. Teresa also offered her opinion regarding where non-Kentucky NANs are held, repeating that Indy NAN isn't about location, but about the ability to be able to get out to shows and actually qualify horses. Danielle Miller reiterated that it is NAMHSA's duty to both its members and the BOD to remain financially solvent in able to support NAN; if the organization goes bankrupt there is no show. Teresa confirmed that we (BOD) need to be financially responsible and make sound monetary decisions that are good for the entire organization, not a subsection or for one member. MAY 10 -------------------------------------------------- Natalie Kilpatrick asked if Jim West would be using his own Ustream account for the NAN webcam this year or if NAMHSA would have their own, stating that by having our own NAMHSA account would be useful for archival purposes. Teresa Buzzell and Pat Coulter confirmed that there would be a webcam this year but didn't go into further detail. She also suggested adding photos of the BOD members for press releases. Lynn Weber advised that she had a difficult time getting people to write bios, so getting photos may be even harder, although a few BOD members did offer photos for posting. Natalie also asked to be setup as an admin on NAMHSA-DISCUSSION since she was already setup as an admin on Facebook and Blogger. Carra McClelland advised that she would put that on her To-Do list. Natalie reminded Regions 3 and 5 on Facebook to approve her membership while Teresa Buzzell reminded her that the Facebook groups are not officially sanctioned by NAMHSA. MAY 11 -------------------------------------------------- Natalie Kilpatrick posted a draft of the April 1-15 News, as well as a second draft of the March 1-31 News. MAY 12 -------------------------------------------------- No News to Report MAY 13 -------------------------------------------------- Teresa Buzzell asked what BOD members would be attending NAN. Kathy Williams, Pauline Entine, Jackie Moore, Pat Coulter, Kate Cabot, Eleanor Harvey, Jackie Arns-Rossi, Beth Lamm and Danielle Miller would be in attendance while Carra McCelland and Chris Wallbruch would not be able to join. Kathy Williams asked how long the Annual Meeting would take and Eleanor Harvey replied that it typically takes 30-45 minutes, but that there was no lunch break yet scheduled for NAN. Teresa Buzzell would later ask if the BOD would prefer to have Niki Hertzog set aside time on Saturday at NAN for the Annual Meeting. Teresa Buzzell asked for members for a committee to discuss a national horse tagging database. She requested BOD members who were both skeptical and BOD members who were knowledgeable of the current systems in use. "The real mission of this committee is not going to be answering the question "Is this feasible for NAMHSA?" but to create a program to serve NAMHSA as best as possible. This is going to need a lot of time - there's a lot of change involved, not the least being some bylaw rewriting. it will have to be voted up by the BOD to take to the membership and the membership will have to vote on adopting the technology or not. The likelihood of it being finished this calendar year is probably low - it will be a long term time commitment. Obviously, the committee being formed is no guarantee of anything being put into practice. It is not a rubber stamp for BOD approval on the project. At the same point in time, if not formed, it will not stop Jim and Kira from finishing it. A future BOD *will* see this proposal come to them - guaranteed. However, if we help do the leg work now, we can influence what the program can do for us and have a hand in creating it." Carra McClelland and Kate Cabot offered to serve on the committee and Kate offered to attempt to recruit Rob Harris who built the original NAN System (later rejected by NAMHSA) as a consultant. Teresa Buzzell asked Pat Coulter for an update on the raffle. MAY 14 -------------------------------------------------- Natalie Kilpatrick sent out an announcement soliciting vendors for NAN 2013 to all boards. Soon, thereafter, she received an email from an upset potential vendor who stated she would have participated had she known at least 4 months in advance and forwarded it to the BOD. Jackie Arns-Rossi forwarded an email from the Crown Royal Plaza Hotel in Springfield, IL offering it's services as a convention location. Pauline Entin posted her Regional Report which was met with much criticism. She stated in that report her reasons for lack of shows in her area and a comparison of the relative sizes of her Region (3) and Region 10. This eventually evolved into another discussion of where it is appropriate to hold NAN (keeping it open to all regions or limiting to a still undefined western section). The suggestion to split some of the larger regions was brought up, but was soon rebutted with the fact that two regions were soon going to be without representation because of lack of volunteers. Pauline offered to amend the report. Jackie Arns-Rossi posted brief stats on the election; namely that the fantasy proposal had passed and with it the bylaw wording and emergency changes. The new VP would be Tom Dean. Stacy Quick would be the new Region 1 Representative and the other three races needed time to be counted. She would need a bit more time to formalize things. Teresa Buzzell advised that members from Regions 1, 2, 3, 4, 8 and 10 were still needed for the MSOTY Committee. She asked Natalie Kilpatrick to rewrite the current post looking for members so that it could be reposted. Later she would advise that a member from Region 4 had been found. Natalie rewrote the MSOTY Solicitation and Teresa approved it. Carra McClelland posted a draft of the 2014-15 NAN Trophy Contest. Teresa Buzzell asked Natalie Kilpatrick to go ahead and post it. MAY 15 -------------------------------------------------- Teresa Buzzell announced that the files section of Yahoo! Groups had been cleaned up. Chris Wallbruch advised that she was dealing with difficult personal matters and would try to keep up on discussions.
